Instructions for authors

The use of generative artificial intelligence (AI) and AI-assisted technologies is subject to the requirements below, including cases where disclosure is required. In all cases, authors must exercise appropriate human oversight and control. Authors are responsible for reviewing and editing any AI-generated content, as such tools may produce inaccurate, incomplete, or biased content.

AI tools must not be listed as an author or co-author, nor cited as an author. Authorship carries responsibilities that can only be fulfilled by humans. Authors remain fully responsible and accountable for the content of their submission.

Uses of AI that do not require disclosure:
Authors may use AI tools in the writing process for support tasks such as improving readability, grammar, spelling, formatting, or reference management. AI may also be used in the research process, including for data analysis or other analytical tasks. These uses do not require disclosure under this policy.

Uses of AI that require disclosure:
If generative AI or AI-assisted technologies are used to produce, draft, or substantially revise any portion of the written content of the paper, this must be disclosed.

Disclosure statement:
When disclosure is required, authors must include a statement at the end of their paper in a section titled: ‘Declaration of Generative AI and AI-assisted technologies in the writing process.’

Statement format:
During the preparation of this work, the author(s) used [NAME OF TOOL / SERVICE] for [PURPOSE]. The author(s) reviewed and edited the content as necessary and take(s) full responsibility for the final submission.

If no generative AI tools were used to produce, draft, or substantially revise the text, no statement is required.

This guidance aligns with current practices in scholarly publishing. As IFLA Journal is published in partnership with Sage, authors are encouraged to consult Sage’s policy on the use of artificial intelligence in scholarly publishing for additional detail.

  • Poster size: The maximum and recommended poster size is ISO paper size A0, in vertical format 900 mm (high) x 700 mm (width).
  • Printing: if you want to print your poster in Rome, we recommend this photocopy shop: Centro Copie Universitario, in via Alfonso Borelli, 15 – 00161 Roma:
    • Bring your poster in .pdf on a USB drive
    • The file must be in high resolution
    • The photocopy shop will not make any adjustments to the file
    • Posters are printed on the moment, not in advance
    • Price: 25€ for a poster in A0 (84,1 x 118,9 cm) format, 140 gr

All poster authors are required to submit their poster for online access.

To submit:

  • The submitting author logs into their Conftool account
  • Click on “Your Submissions”
  • Click on “Final upload(s)”
  • Follow the instructions and save.

The submission deadline is on September 15th.

All oral presentations must be max 20 minutes long (Q&A will be at the end of the session).

Preparing your presentation

We encourage you to use our provided template.

To submit your presentation:

  • The submitting author logs into their Conftool account
  • Click on “Your Submissions”
  • Click on “Final upload(s)”
  • Follow the instructions and save.

The submission deadline is on September 14th.

Presentation Format

To ensure your presentation opens smoothly on an on-site PC, please use either Microsoft PowerPoint (2016 + Version) or Adobe PDF.

Use the template, which already has all the necessary settings for the on-site PCs. Save it as either .pd, .ppt, or .pptx.

Movies/Videos

Because of the many different video formats, support cannot be provided for embedded videos in your presentation. Generally, the MPEG-4 and WMV format should work with no difficulties.

Movies or videos that require additional reading or projection equipment (e.g., VHS cassettes) will not be accepted.

Fonts

Please use the font embedded in the PowerPoint template provided on this page or any alternatives included in the basic installation of MS-Windows 10 (English version).

Suggested Fonts are Arial, Helvetica, Tahoma. If you must use different fonts, they must be embedded into your presentation.

Transfer Your Presentation

Please submit your presentation to the organiser via Conftool as instructed above. If you have any video files to attach to your presentation, please send them via e-mail to scientific@iflailds2026.org.

The conference venues are also equipped with input sources coming from a laptop device via VGA and HDMI cable. If you want to use your own device, make sure it is compatible with this interface.

Conference staff will transfer your presentation to the conference venue. You will easily find your presentation on the laptop at the venue.

If you have more than one presentation during the conference, submit each of them to the respective abstract to avoid any misunderstandings and problems. Always make a backup copy of your presentations and all associated files, and save them on a separate, portable medium for yourself and bring it to the conference venue.
